Job description

Operations Support Assistant

Location: Bedford
Hours: Monday – Friday, around 40 hours

Every operations team needs that one person who keeps everything running properly behind the scenes.

The one who knows where the paperwork is.
Who chases the timesheets.
Who spots when something doesn’t look right before it becomes a problem.

If you’re organised, confident with people, and comfortable holding your own in a busy, male-dominated environment, this could be a really solid opportunity.

Even better — this isn’t just a “follow the process” admin role.

You’ll have the chance to shape it, improve it and make it your own, designing systems and processes that help the operation run more smoothly.

What You’ll Be Doing (AKA keeping the operation organised)

• Processing and managing operative timesheets – accuracy is absolutely key
• Managing operational administration including timesheet management, compliance records and workforce documentation
• Maintaining operational records and internal systems
• Registering new employees and verifying qualifications and training records
• Managing contract and subcontractor documentation for new starters
• Communicating with site operatives, operational teams and management
• Preparing daily reports for clients and internal teams
• Carrying out routine office and compliance checks
• Keeping contract databases and operational records up to date

And importantly…

• Designing, improving and implementing processes to help the operation run more efficiently
• Taking ownership of systems and helping shape the role into something that adds real value to the team

What You’ll Need

• Strong attention to detail – accuracy really matters here
• Experience handling timesheets, operational administration or workforce records
• Good IT skills (Excel, email, internal systems)
• Confidence building relationships with operatives and operational teams
• Comfort working in a male-dominated environment
• A proactive mindset – someone who sees a process and thinks “we could do this better.”

This role suits someone methodical and comfortable taking ownership of accurate records and timesheet data.

You’ll also need to feel confident building relationships with site teams and operatives and chasing missing information when needed.

What You Might Not Like (honesty hour)

• It’s office-based, not hybrid or remote
• You’ll sometimes need to chase people for timesheets or missing paperwork
• Things can get busy and last-minute at times

• Salary circa £28k pa depending on experience
• Around 28 days holiday including bank holidays
